We wrote this so you'd never have to ask "where are we?" The onboarding plan is the same every time: 14 days, senior team running point, clear deliverables on both sides. Go-live is day 14 — and that's when your 60 free days begin.
Who does what, when
Day 1 — Kickoff call (60 min)
You bring: sales-team lead, marketing lead, IT/admin contact.
We bring: Customer Success lead + implementation engineer.
Outcome: agreed scope, integration list, communications, project channel set up.
Days 2–3 — Discovery
We map your floor-plan inventory, current commission terms, Ava persona, brand voice, fair-housing guardrails, and the CRM/closing stack you run today.
Days 4–7 — Build
Ava is configured in your brand voice. Co-Op Network is loaded with your communities and posted commission offers. CRM sync is wired. Network lender + title partner introductions made.
Days 8–9 — Internal review
You see Ava in sandbox. You review the Co-Op flow end-to-end. We adjust copy, persona, and qualification rules until you're happy.
Days 10–11 — Compliance & fair-housing review
Your compliance contact (or counsel) reviews the deployment. We address feedback, then re-test.
Day 12 — Full dress rehearsal
End-to-end test: a fake lead arrives, Ava qualifies, books an appointment, an agent registers a buyer, certificate issues, milestone updates flow.
Day 13 — Final sign-off
You give the green light. We schedule the cutover for the next morning.
Day 14 — Go-live
Your real traffic routes to Ava. The Co-Op Network is open to your agent community. Your 60 free days start now.
What we'll need from you (it's not much)
- Floor-plan inventory (we'll take whatever format you have — spreadsheet, CRM export, PDF spec sheets).
- Current commission terms by community.
- Your sales-team calendar (we connect via standard integrations).
- Read access to your CRM (or an export).
- Your brand voice — anything from a one-pager to a full style guide; we work with what you have.
- One internal lead per side (sales, marketing, IT). They don't have to be senior; they have to be reachable.
The first 90 days
30-day check-in
Review Ava transcripts, lead quality, registration volume. Tune persona and qualification questions.
60-day check-in
Subscription clock starts day 61. Compliance review. Lender/title coordination check.
90-day business review
Initial results. Case-study planning. First quarterly roundtable invite.
Direct escalation path
You'll have a named Customer Success lead from day one. If you ever feel things are slipping, here's the path:
- Your CS lead — 4-hour SLA, named individual.
- Head of CS — escalation within one business day.
- Founders — directly reachable for founding members.
All three contacts are in your welcome email and pinned in your project channel.
